Company overview

Norton Rose Fulbright is an international law firm which provides corporations and financial institutions with a full business law service. The firm employs more than 4000 lawyers and other legal staff in 33 countries across Europe, the United States, Canada, Latin America, Asia, Australia, Africa, the Middle East and Central Asia.

The challenge

Norton Rose Fulbright (NRF) sought to narrow its supplier base so it could transact with fewer suppliers for a wider range of categories. In doing so, NRF aimed to streamline its procurement administration. Ad hoc purchases were a particular area of focus. In the past, these had been made on personal credit cards and claimed back on expenses. However, this approach was administratively heavily and disproportionately costly. NRF sought to achieve better visibility and control over these purchases through a more formal sourcing process.

Our solution

Single Source Solution – By appointing OfficeTeam to supply its office supplies, toners and printed stationery NRF was able to replace seven suppliers with one. We set up an online ordering portal so NRF’s staff could order all of these products via a single online system. The service is supported by a dedicated Account Management team with a named Account Manager and Customer Services contact – giving NRF a direct line for procurement enquiries.

Ad Hoc Purchases – When ad hoc requirements arise, NRF’s staff can now contact the firm’s nominated Customer Services contact to enquire about these products too. Our in-house Specials team typically returns a quote within 24 hours and these non-catalogue goods are delivered in a single drop alongside NRF’s other OfficeTeam products. This has given NRF a single point of contact for ad hoc purchases, plus complete visibility of this spend.

Rapid Deliveries – We hold stock of NRF’s contract items at distribution centres local to the firm’s sites. So, essential products are always available for rapid delivery next working day – or same day in an emergency.

Recycling Service – As a value added service, we remove waste packaging and used toners at the same time as delivering NRF’s fresh supplies. We then process these materials for recycling, refurbishment or responsible disposal on the firm’s behalf.

The outcome

Streamlined Supply Chain – Our one-stop solution has replaced seven suppliers with just one. Now NRF can purchase multiple categories from one source, via a single online basket. Furthermore, our specials process has given NRF a single point of contact for all its ad hoc purchases which are included in the same consolidated invoices, reports and deliveries as the firm’s other OfficeTeam products – giving NRF greater visibility of its purchasing activity.

Reduced Costs – Our consolidated service has reduced the total cost of NRF’s procurement. Purchasing multiple categories and ad hoc requirements from a single source has de duplicated landed costs such as handling and carriage charges. Meanwhile, our service has eliminating soft costs associated with NRF’s staff with processing multiple orders, invoices and expenses requests.

Industry Insight – As an established supplier to the legal profession, we have introduced NRF to a forum of other legal firms. Every six weeks we host a networking event so members of the group can share industry updates and insights.

Reduced Emissions – Our consolidated deliveries have reduced the carbon emissions associated with delivering to NRF’s sites. Meanwhile, our local delivery setup has reduced the distance goods have to travel – lowering emissions further
